How do I Complete my Form I-9 in Fountain?

Your I-9 is completed online through Fountain, our onboarding portal. This guide will walk you through each step of the process so you know exactly what to expect.

Before You Begin

Before opening your I-9, make sure you have everything you need.

You’ll need:

  • A phone or device that can take clear photos

  • A reliable internet or Wi-Fi connection

  • An adult age 18 or older who can serve as your Authorized Representative

  • Your Authorized Representative’s phone number

Important: Your Authorized Representative must be physically present with you during the verification portion of the process.

Your Scoot consultant cannot serve as your Authorized Representative.

Section 1

Start by opening the I-9 task in your Fountain onboarding portal.

You’ll be asked to enter personal and document information required to complete your Form I-9.

Enter Your Information Carefully

When entering your document information:

  • Use the full state name rather than an abbreviation when requested.

  • Enter the official name of the issuing authority.

  • Complete every required field.

  • Double-check your document number.

  • Confirm that the expiration date is correct.

Before moving forward, review everything carefully like government name, birth date and birth year. An incorrect or incomplete field can prevent you from submitting the form.

Upload Your Documents

Next, you’ll upload a copy of your acceptable document(s).

You can take a photo using your phone or use a scanning app to create a digital copy.

File Requirements

Your uploaded file must:

  • Be under 20 MB

  • Be in PNG, HEIC, PDF, JPEG, GIF, or JPG format

  • Be clear and in focus

  • Be easy to read

  • Have minimal glare

  • Have no significant blur or visual obstruction

For the best results, place your document on a dark, flat surface and make sure the entire document is visible in the photo.

Wait for the Upload to Finish

Make sure the document has completely finished uploading before clicking Submit.

Clicking Submit while the upload is still processing may prevent the form from submitting correctly.

After you submit the first step, you’ll move on to the document verification portion of the process

This is where your Authorized Representative will assist you.

Who Can Be My Authorized Representative?

Your Authorized Representative can be any adult age 18 or older whom you choose.

For example:

  • A spouse

  • A roommate

  • A neighbor

  • A friend

  • Another trusted adult

They must be physically present with you during the verification process.

What Does the Authorized Representative Do?

Your Authorized Representative will:

  1. Be physically present with you.

  1. Use their phone during the verification process.

  1. Scan the QR code when prompted.

  1. Answer a few brief questions.

  1. Complete the required document verification.

Your Authorized Representative's role is simply to assist with the required verification process.

Your Scoot consultant cannot serve as your Authorized Representative.

Whose Phone Number Should I Enter?

When Fountain asks for your Authorized Representative's phone number, enter the phone number belonging to the adult you have selected.

Make sure the person is available and has access to that phone during the verification process.
